Is FreshBooks a Good QuickBooks Alternative for Small Business Bookkeeping?

Choosing accounting software often comes down to one basic question: What does your business actually need it to do?

As part of our ongoing look at QuickBooks Online alternatives, we tested FreshBooks by connecting bank accounts and attempting to complete a basic month of bookkeeping. This FreshBooks vs. QuickBooks Online comparison focuses on that practical experience.

The results were informative, though not in the way we expected going in.

FreshBooks has been around for years. It’s designed as an all-in-one platform made for small service-based businesses. Along with bookkeeping and accounting features, it includes project tracking, expense tracking, quotes, estimates, and invoicing. These tools are built to support the client process from the initial quote through final payment.

Many businesses also use FreshBooks primarily for bookkeeping, so that is the workflow we focused on testing.

What We Noticed

FreshBooks Puts Estimates, Projects, and Invoicing Front and Center

Getting started with FreshBooks was fast. We had an account set up and running within a few minutes.

Connecting the bank accounts was also simple. The initial sync only pulled about 45 days of transaction history, which was limiting when trying to review a fuller period of activity.

That might be linked to the connection between FreshBooks and that specific bank. So, we won’t see it as a dealbreaker by itself.

What stood out most was how clearly FreshBooks is built around an estimate-to-invoice workflow. Projects, expenses, quotes, estimates, and invoicing are all central parts of the platform rather than secondary add-ons.

For a service business that depends heavily on that quote-to-payment process, having those tools connected in one place may be genuinely useful.

Compared to QuickBooks Online

Bank Matching Took More Work Than Expected

Once we got into the actual bookkeeping, a few parts of the FreshBooks workflow made the process harder than it needed to be.

  1. The Matching Screen Felt Cluttered

FreshBooks calls this process “Bank Reconciliation.” The bank transactions and possible matches did not line up clearly, which made the screen harder to scan and the next step less obvious.

  1. Suggested Matches Needed a Careful Review

FreshBooks may suggest matches when transactions are imported. Those suggestions should be checked before confirming them. They may not always be accurate and can be difficult to correct later.

  1. Income Deposits Added Extra Steps

This was the biggest issue during testing.

Deposits like frequent Stripe payouts did not have income records ready to match. Instead, we had to create an invoice or group several deposits together first.

That added extra steps we would not normally have in QuickBooks Online.

  1. We Stopped Before Finishing the Month

After running into these issues, we stopped before finishing the full month of bookkeeping in FreshBooks.

At that point, it was more than a preference for one layout over another. The process simply required more time and effort than we expected and was not practical.

Where to Find Additional FreshBooks Training

FreshBooks has its own workflow, so learning from someone who specializes in the platform can be helpful.

Kate Johnson’s @FixYourFreshBooks YouTube channel offers detailed FreshBooks-specific tutorials, including bank reconciliation guidance and full bookkeeping workflows. Her resources can provide a more complete look at how experienced FreshBooks users manage the platform day-to-day.
